Friends Of School Meeting

Summer Fayre
The summer fayre team have been meeting to finalise the arrangements for the Summer Fayre which is set for 15th July between 11-2.

Set up for the fayre will start at 09:00. It is hoped that some parents will assist in this process.

We have been unable to arrange a drinks licence for the fayre because of the new regulations that have come into force. We may need to review if it is worth applying for a licence as it costs £21 to arrange and this would have a big impact on any profit raised from the sale of drinks.

The outside stalls have been rranged and the charging structure has been agreed.

General discussion about who will man the stalls. Laurie has sent the school plan from last year. There is still a need for parents for the remaining stalls. This to be advertised in the news letter.

If there is wet weather a reduced event will take place in the school hall.

Evening Performance
We are unable to apply for a licence as it costs £21 to arrange. It has been aggreed that soft drinks and snacks will be supplied instead.

A list of names were provided to cover the evening performances.

Sports Day
Friends will provide fruit and drinks for attendees to the sports day that is set for 21st July.

Financial Statement
The books have been totalled and we currently have a balance of £6500.

It was agreed that all requests for funds are agreed at the beginning of the year. There was an exception for the sports medals because of the great work of the team in raising the profile of sport.

The funds are still allocated to pay for the school play equipment which will initially be funded by the school.

Parents are reminded not to park in the school teachers car park.

The current books indicate that we now have £6000 in the bank. Recent fundraising efforts include:

There was a suggestion that prizes for each class would be a better option next year.

This years summer musical will be Summer Carnival: Anansi - The Spider from Fishponds

Plan for shows 17th ,18th and 19th. 18th and 19th to having evening shows.

Possible options for open air performance. To be discussed by Ruth Dalton. Friends to look at the options for providing refreshments.

Due to Jules Cox resigning as chairperson Ruth Harding is taking over until the next AGM.

Sponsored Bounce
This is on Friday 17th March and Maria and Ruth H are helping in the morning and Ann and Ruth H are helping in the afternoon. Ruth H is to see Mrs Thomas re risk assessment.

Easter Egg colouring competition
This is to be given out on Friday 23rd March and to be back in by 28th March. Ruth is going to see to the designing and photocopying of these. There are to be 8 prizes, two each for Foundation, Key Stage1, Years 3 &4, and Years 5 & 6. Ann is going to approach Morrisons for the prizes and the dinner ladies are going to judge the competition giving 1st and 2nd prizes.

Quiz evening
This is taking place on thje 19th May, with teams of 4. £5 a team. Ann is going to design the poster with an entrance slip, which have to be in by May 5th, and will be given out 21st April. Ruth H's telephone number to be put on.

Summer Fete 15th July 11-2

Friends of School Meeting

Christmas Fayre
The Christmas Fayre raised £ 630 net. Thanks to all the friends who put in so much effort before and on the day.

It was noted that there is still a shortage of help on the evening and this should be addressed next time.

A list of takings per stall was discussed and will be used to decide options for next Christmas fayre. It was noted that there was stock left over from the fayre that will be used during other fund raising initiatives.

School play equipment
Mrs Dalton indicated that the school will fund the replacement of the KS2 play equipment. Friends of School can assist in providing a donation to this. It was agreed that the school council will be asked for input in deciding what should be purchased.

Mrs Dalton agreed to provide a list of other items that are requied by the school.

Financial Matters
Not discussed on the evening but a statement of account for Financial year 01/09/2004 to 31/08/2006:
  • Gross Income: £ 5354
  • Total Expenditure: £ 2679
Fundraising Ideas for 2006

Sponsored bounce:
A prize will be offered to the class room that raises the most. This to be set at a maximum of £20 for the winning class. The bouncy castle will be outside or in the small hall if it is raining.

Each person will get five minutes to bounce.

Mrs Dalton noted that the risk assessment form will need to be updated and that any helpers will need to be aware of the contents of the document. All children who participate will need a signed permission slip from their parent or guardian.

Planned date Friday 17th March 2006.

Decorated Eggs:

Children to complete a drawing / painting of an easter egg. The entrance fee will be 50 pence per person. This to be sellotaped to the picture. The competition judge is to be decided by Mrs Dalton. This will take place before Easter.

There will be an Easter egg prize for the winner in each year group.

Friends to approach Morrisons for some sponsorship and perhaps dispalying the winning entries in the store.

Car boot sale and pocket money stall
Review the start up of these again at the next meeting. Probably to start again after Easter.

Family Picnic / Bring and Share Evening
Suggested that we put on a more social event rather than just fundraising with a picnic possibly at a local park.

Also an evening with differnt local foods brought in by parents or perhaps a BBQ if it is nearer the summer. Suggestion welcome.

Quiz Night
Prepare a quiz evening with, raffle, food /snacks and bar. Mrs Stokes offered to prepare the questions. Price of £5 per team of 4 people. Mrs Watts to investigate catering option from Metro21. Max £5 per head.

Christmas Fayre banner
A banner has been bought for £50 to advertise the Christmas fayre. This can be reused and will look effective on the railings. It is to be put up over the next week. Jules has also bought things for the pocket money stall and lucky dip. Anne and Emma are going to buy Santa stuff this week.

Fayre Posters
Anne is going to photocopy and distribute the posters, Ruth D is going to photocopy the newsletter, Ruth H is going to photocopy the brochure and Jules is going to photocopy and distribute the raffle letter.

Father Christmas’s Grotto
This will have a raffle ticket system this year. Jules, Annette, Emma and Anne are wrapping the presents for this and Maria and Ruth are wrapping the lucky dip. The grotto can be set up after 1pm. Jules is going to buy new decorations for the grotto and Emma and Anne are going to buy a box for these, so that they can be kept in the shed in the courtyard safely.

Santas Helpers
Ruth Dalton is going to contact the Year 6 teachers and ask for fairy or elf helpers. Ruth H is to buy the sweets for the sweet stall. We are all to collect screw top bottles for the lucky bottle stall.

School Choir
We discussed putting the staging up in the hall for the choir to stand on. This will be looked into.

Hot Food
The ‘Potato oven’ will be coming at 3.50pm and will go in the junior playground. It was decided that food could be eaten around the food activities area - ‘no food’ signs to be put up around the rest of the school to avoid food being trodden into the carpets. Ruth H to do the posters.

Friends Website
Ruth Dalton is going to arrange for the friends of school website address to be put onto the school newsletter and for a link to be made from the school website to the friends website.

Financial Update
It is thought that we have around £4000 in the bank at the moment. We made about £400 at the ladies evening. We need about £6000 for the new playground equipment and Ruth D has said that the school can pay for it and we can pay them back.

Chairperson
Ruth Dalton thanked Jules for taking on the job of chairperson again and for organising the ladies evening. Mandy Morris is also to be thanked for her work as chairperson and member of the committee.

Maria Long was elected as vice-chair. This was proposed by Ruth Harding and seconded by Anne Watts.

Design competition
Jules is going to buy some materials so that children can decorate a Christmas tree drawn on an A4 piece of paper. This will cost 20p to enter and will take place by the entrance to Santa’s grotto.

The next meeting will take place at 7pm on 17th January 2006.

Christmas fayre sub committee

Thanks to all the attendees, you support is appreciated.

Christmas fayre food
We will not be able to use the canteen equipment becuae there is a new charge of £25 for the hire of the canteen in addition we would need to pay the support staff for the canteen for the evening.

NB This means the small canteen will need to be used to provide other food options.

Jules Cox came up with a brilliant idea to get in outside caterers who would set up in the lower playground near the queue for Father Christmas. Jules has contacted the potatoe van and is investigating a number of other options. The vendors would be charged in a similar way to stall holders.

Ruth to bring popcorn making machine and popcorn as one of the food options.

No toffee apples this year.

Christmas fayre drink
It was agreed that mulled wine was not going to be provided this year.
We need to buy bottles of Red and White wine for the evening. Investigate the options for discount.

We will be buying cases of small bottles of beer and soft drinks for children.
  • ACTION Laurie to provide these from Tesco as per summer fayre.

On the evening we need to get a bag of ice cudbes from Morrisons.

Christmas fayre poster, times and prices
It was agreed that the Christmas fayre timing is changed from last year. It will be from 17:30 until 19:30. Entrance fee will be £1 per adult, children free. There will also be a free Tombola ticket for each ticket purchased.
  • ACTION Laurie to update the poster and get copy approved.

The poster will need to be photocopied and distributed. NB the suggestion is to use more brightly coloured paper, Red or Green.
ACTION Laurie to send PDF to Anne Watts to be printed. Anne to photocopy and Anne and Emma to circulate/ distribute.

Santas' grotto
The price has been held at £2 this year as this is very popular.

We need to investigate the number of items that already exist for the presents.

We need to buy some more presents, these to be sourced for about £1 per present.

On the day the cave will need to be dressed after the school has closed. We will need help from parents to do this.

  • ACTION Jules to dress with assistence from others. Any offers? Laurie and Jaci to provide lights. Jules to check with Mr Mason the availability of power extension leads. Do we need background music?

We also need some Santas helpers on the evening to help manage the deployment of appropriate presents.

  • ACTION Jules to approach Mrs Dalton to ask year six teachers to put forward suitable candidates to be santas helpers.

Christmas fayre stall holder
Ruth confirmed that we will be able to use the year 6 class room. This means we will be including stall holders and they will be set up in the main hall and in year six.
They will be charged £10 and asked to donate a prize to the raffle.

Ruth suggested getting the Baker Ross package. Al lagreed that this was a good idea nd would make it easier to set up. The cost is £130 for 60 toys. suggested price per ticket of 25p.

Jules has got 40 lucky dip items for girls.

Ladies Evening

The evening was less successful than last time. Only 70 people attended compared to 120 last time. Jewelry and therapies were popular. Around £400 was raised, but it is unlikely to be repeated because of lack of attendence.

Please remind everyone that these evenings aredesigned to raise funds for school projects. For example £6000 is need for a new playground. We need your support!

Discussion surrounding types of food took place. Agreed that we would look to provide oven chips and sauces. In addition, if the weather was cold we would provide soup in the form of Heinz catering soup.

The catering would be in the main hall and requires support from Julie and Mrs Dalton. Mandy to discuss with both parties.

Father Christmas
Mandy to canvas Mrs Dalton who is allowed, to be father Christmas this year.

Car Boot / Table Top Sale report

Minutes

The weather was much better than expected so we had a car boot sale instead. Lots of helpers had arrived to put out the tables for a table top sale but they were not required. However, a big thank you to those who did turn up. We need all the help we can get to arrange these types of events, particularly the Christmas and Summer fayre.

The gates were opened early to accommodate the rush and stop people trying to climb over the fence!! Business was brisk, if a bit cold. The gates were closed at 12:00

approximately 12 cars arrived for business and we made about £80 over the day with the inclusion of the sale of sweets and hot drinks. Thanks to Dan Monk for helping out on the sweet stall.

AGM Meeting 13-09-2005

Apologies:

R Dalton opened the meeting by thanking all for their efforts fundraising last year and especially J Cox and the helpers of the summer fayre. R Dalton thanked P Brindle for sorting out all the lost property items.

The friends group new structure is as follows:

  • Treasurer: R Harding, proposed J Cox, 2nd Mandy morris
NB L Brown indicated that he would help R Harding with an overview of what is required to manage the accounts.

Previous Events:
J Cox noted that the disco was well liked by all. However, the profit margin would be low. All agreed that it was a good event. R Harding / L Brown to confirm the amount raised at a later meeting.

J Cox confirmed that £20 had now been received from the ice cream stall from the summer fayre.

Planned Events:
The attendees discussed plans for events upto Christmas 2005. Listed below are the proposed events and associated information.

1 Table Top Sale / Car Boot sale:
proposed helpers: P Brindle, L Monk, L Brown, A Watts, E Donaghue
J Cox to provide a revised banner
J Cox to reuse existing template for the poster and provide printed master to A Watts.
A Watts to help distribute posters in shop windows.
R Dalton to confirm that the Haward the caretaker is available to unlock and lock up.
P Brindle will arrange advert for the Observer

2 Chrismas Fayre:
Proposed date: 9th December 2005 17:30 - 19:30

3 Ladies Evening:
Proposed date: 15th November 19:30 - 10:00

Notes:
  • Tables will be £10 each.
  • Entrance fee will be £2.00 each.
  • Wine price will be based on a nominal donation value.
  • Children at not allowed to attend.
  • Lela will be asked about providing curries.
  • M Morris will investigate about other catering options available by using school kitchens by agreement with Julie.

4 Bristol Poster design competion:
This is to coincide with the work of enrichment week. The theme is going to be about Bristol. Paint a poster depicting attributes of Bristol. The best posters will be put on display and the name of the prize winner will be selected from these by being drawn from a hat.

Notes:
  • J Cox will add item and tear off slip to the news letter.
  • Entrance fee: 50 pence.
  • Prizes: portableMP3/Mp3 player player, Vouchers to ice skating rink.

Other Items
M Morris indicated that we will register the charity with Legoland. We are tlikelykley to get discouavailableilbe for use with prizes.
